The Claims System Administrator I is responsible for the management and upkeep of the billing system and various audits and internal controls.  They will work with contracting personnel, insurance carriers, billing staff and management, accounting, external system venders, sales, and product managers to ensure the billing system is maintained and up to date with all new products, packages, insurances, rates, reporting, etc. The Claims Admin will keep abreast of all system updates, attend training and update internal staff as necessary. The successful person will meet or exceed overall department goals and will carry out Inogen's values.

Key Competencies:

  • Management and upkeep of billing system including automations with other company systems
  • Maintain user access and permissions
  • Audits on an as needed basis for Medicare, Commercial and Medicaid price tables/rates
  • Build custom reporting for internal staff
  • Assist in forecasting commercial billing rates
  • Liaison for Medicare Same/Similar access for billing staff
  • Input of all new items and packages into the billing system
  • Reports/Analytics as needed
  • Closes the GL period monthly and runs reporting
  • Builds custom reports to seek out possible issues and works with management to address issues
  • Provides all rate and CBA updates to IT via excel to update Salesforce as needed
  • Gatekeeper and administrator of all payer files in Inogen billing systems
  • Responsible to review current insurance carriers to ensure carrier files are set up correctly
  • Works with existing insurances regarding rejections involving payer file errors
  • Reviews claims with no document date to determine why a carrier is not receiving or adjudicating Inogen's claims
  • Works directly with contracting on payer updates/additions and keeps the billing department abreast of pertinent changes
  • Maintains all payer files, ensuring all payer files in all systems are active and up to date with the most current billing requirements for each insurance
  • Works directly with the claims and billing team regarding rejections and denials trends to address high volume rejections/denials with our clearinghouse or the insurance
  • Adjusts price tables in the billing system to reflect the correct rates and codes on an as needed basis
  • Interface with contract and payor relative to maintain accurate payer data base
  • Works with billing system vendor and clearinghouse to implement EFT, ERA and setting up electronic billing
  • Performs other duties as assigned.

Do you possess these abilities?

  • A complete understanding of Medicare & Insurance program rules is required
  • Thorough understanding of Brightree billing system and set up is required
  • Must be very detail-oriented and analytical to ensure claims are submitted properly
  • Has the ability to work in multiple systems simultaneously in a fast-paced environment
  • Must be well versed in working with insurance carriers
  • Must have the ability to quickly resolve high volume insurance issues
  • System audit experience preferred


  • Preferred 2 years of Medicare and insurance billing, preferably for oxygen or HME; at least 1 year billing experience
  • Preferred 1 years of Brightree rejection experience. Experience reviewing Brightree insurance file settings
  • Experience auditing system controls and settings preferred
  • Experience creating, editing and maintaining Brightree price tables preferred
  • Experience working insurance and managing external consultants preferred
  • Proficiency with Brightree and Microsoft Excel
