JOB DESCRIPTION 

The Accounts Payable Specialist is responsible for maintenance and processing of all related accounts payable transactions. This position will investigate and settle problems associated with processing of invoices.  

Key Competencies:

  • Verify, retrieve approval, and entry of invoices through the AP automation software.
  • Reconcile vendor statements monthly and research discrepancies to ensure minimal outstanding items on the Accounts Payable problem log, 2013 account, and AP aging.
  • Ensure accuracy of pricing, quantities, freight and tax.
  • Ensure that invoices are properly matched with correct receipts/approvals in the AP automation software.
  • Assist with Audit and Auditor requests for information.
  • Interface with Purchasing, Shipping & Receiving, as well as Management to resolve issues that may prevent timely payment to vendors.
  • Interface with vendors on a regular basis regarding payment issues.
  • Process weekly payment runs.
  • Closely monitor specific vendor accounts with special instructions.
  • Maintain organized filing system for both payment history and current invoices.
  • Assist in special projects and maintain special spreadsheets as needed.
  • Enter and print manual checks as necessary.
  • Void and reissue payment(s) when necessary.
  • Assist with training and administration of all related Accounts Payable Department software systems in the absence on the AP Analyst.
  • Assist the AP Supervisor with special projects and department metrics.
  • Maintain regular and punctual attendance.
  • Comply with all company policies and procedures.
  • Assist with any other duties as assigned.

 

Do you possess these abilities?

  • Must have strong work ethic.
  • Must be well-organized and a self-starter.
  • Prior A/P experience preferred.
  • Excellent oral and written communication skills required.
  • Attention to detail is required.

Requirements:

  • High school diploma or equivalent, required.
  • 2 years of experience in Accounts Payable or related field, required.
  • Proficient in Microsoft Office, required.
  • Intermediate Excel skills, required.
  • Oracle experience, preferred.
  • A combination of training, education and experience that is equivalent to the qualifications listed above and that provides the required knowledge, skills, and abilities.
